Role Templates

HintMint ships with four built-in role templates that shape which real-time prompts, suggested questions, and post-meeting insights each user receives. Assign a template during onboarding or let users choose their own from Settings.

Sales

Optimized for discovery calls, demos, and negotiation. The Sales template surfaces objection-handling cues, competitor mention alerts, pricing discussion guidance, and next-step suggestions throughout the conversation.

  • Automatic detection of buying signals and budget references
  • Talk-to-listen ratio tracker with gentle nudges to let the prospect speak
  • Post-call summary includes deal stage recommendation and follow-up action items

Recruiting

Designed for interviews, intake calls, and candidate debriefs. The Recruiting template helps interviewers stay structured, ask legally compliant questions, and evaluate candidates consistently.

Executive

Tailored for board meetings, 1:1s, and strategic planning sessions. The Executive template prioritizes high-level takeaways, decision tracking, and delegation clarity.

  • Strategic initiative tracker linking discussion points to company OKRs
  • Sentiment analysis across participants to flag unresolved tension
  • Concise briefing document generated within minutes of meeting end
You can duplicate any built-in template and customize it to create hybrid roles. For example, clone the Sales template and add Consulting-style scope tracking for your Solutions Engineering team.

Custom Prompt Libraries

Prompt libraries let you define the exact questions, suggestions, and coaching cues that HintMint surfaces during meetings. Each library is a collection of prompt rules that fire based on conversation context.

Navigate to Settings > Prompt Libraries

Open the admin console and select Prompt Libraries from the left sidebar. You will see any existing libraries along with the default library for your plan.

Create a new library or edit an existing one

Click Create Library and give it a descriptive name (e.g., 'Enterprise Discovery Prompts'). You can also duplicate an existing library as a starting point.

Add prompt rules with trigger conditions

Each rule has a trigger (keyword, topic, or timing-based) and a prompt that HintMint will display. For example, trigger on 'budget' to surface your pricing qualification framework.

Assign the library to roles or individuals

Link your library to one or more role templates, specific teams, or individual users. Users can have multiple libraries active simultaneously, and HintMint will merge them intelligently.

Prompt libraries support variables like {participant_name}, {company_name}, and {meeting_type} so your prompts feel natural and contextual rather than generic.

Meeting Type Presets

Meeting type presets let you pre-configure how HintMint behaves for different kinds of meetings. Instead of relying on auto-detection alone, you can define explicit presets that activate based on calendar event titles, participants, or manual selection.

Creating a Preset

Go to Settings > Meeting Presets and click New Preset. Give it a name (e.g., "Weekly Pipeline Review") and configure the following options:

  • Prompt library to use during the meeting
  • Summary format and length (brief, standard, or detailed)
  • Which coaching signals to enable or disable
  • Automatic attendee role assignment based on email domain or title
  • Post-meeting distribution list for the summary email

Auto-Matching Rules

Presets can be triggered automatically using matching rules. Define rules based on calendar event title keywords, recurring meeting IDs, participant email patterns, or calendar tags. When a meeting matches multiple presets, HintMint uses the most specific match.

Create a "Default" preset for each team so that meetings without explicit matches still get optimized settings rather than falling back to generic behavior.

Branding & Terminology

Make HintMint feel native to your organization by customizing terminology, tone, and visual branding throughout the interface and generated outputs.

  • Replace default labels with your own terminology (e.g., rename 'Action Items' to 'Next Steps' or 'Commitments')
  • Upload your company logo to appear on exported meeting summaries and reports
  • Set a custom color accent that matches your brand guidelines
  • Define a glossary of internal terms so HintMint correctly transcribes and uses your organization's jargon
  • Configure the AI's tone of voice for coaching prompts: professional, casual, or direct
Terminology changes apply across the entire HintMint experience, including the desktop app, email summaries, and API responses. Allow up to 10 minutes for changes to propagate to all active sessions.

Notification Preferences

Control how and when HintMint communicates with your team. Notification settings can be configured at the organization level by admins and further personalized by individual users.

Organization Defaults

Admins can set baseline notification preferences that apply to all new users. These defaults cover meeting reminders, summary delivery timing, coaching digest frequency, and weekly analytics emails.

User Overrides

Individual users can override organization defaults from their personal settings. They can choose to receive summaries via email, Slack, or both; adjust reminder timing; and opt in or out of weekly performance digests.

Delivery Channels

  • Email: meeting summaries, weekly digests, and admin alerts
  • Slack: real-time summary delivery to channels or DMs via the HintMint Slack app
  • In-app: all notifications appear in the HintMint desktop app notification center
  • Webhooks: push meeting data to your own systems via configurable webhook endpoints
Disabling all notification channels at the org level will prevent users from receiving meeting summaries automatically. Users can still access summaries manually from the HintMint dashboard.
