CRM & ATS Integrations

Connect HintMint to your CRM and applicant tracking systems to automatically sync meeting notes, map participants to contact records, and streamline interview feedback workflows.

Overview

HintMint integrates with leading CRM and ATS platforms to eliminate manual data entry after meetings. Meeting summaries, action items, and AI-generated insights are automatically pushed to the right records so your team can focus on building relationships instead of updating systems.

CRM and ATS integrations are available on the Enterprise plan. Each integration can be enabled independently from Admin Console > Integrations.

Supported Platforms

CRM Integrations

  • Salesforce -- sync meeting notes to Opportunities, Contacts, and Accounts with custom field mapping
  • HubSpot -- auto-log meeting activities, associate notes with Deals and Contacts, and trigger workflows

ATS Integrations

  • Greenhouse -- push structured interview feedback and scorecards directly from meeting summaries
  • Lever -- sync interview notes to candidate profiles and opportunity records automatically
Need an integration that is not listed? HintMint offers a webhook API and Zapier connector for connecting to additional platforms. Check the API documentation for details.

Connecting Salesforce

Open Integrations settings

Navigate to Admin Console > Integrations > CRM and select Salesforce from the list of available connectors.

Authenticate with Salesforce

Click 'Connect Salesforce' and sign in with a Salesforce admin account. HintMint requests read/write access to Contacts, Accounts, Opportunities, and Activity records.

Configure field mapping

Map HintMint meeting fields (summary, action items, sentiment, next steps) to Salesforce fields on the Activity object. You can map to standard or custom fields.

Set sync rules

Choose whether to sync all meetings automatically or only meetings that match specific criteria (e.g., external meetings, meetings with known contacts, meetings tagged with a Salesforce opportunity).

Test and activate

Run a test sync with a recent meeting to verify data flows correctly into Salesforce. Once confirmed, toggle the integration to active.

Connecting HubSpot

Open Integrations settings

Navigate to Admin Console > Integrations > CRM and select HubSpot from the list of available connectors.

Authenticate with HubSpot

Click 'Connect HubSpot' and authorize HintMint via OAuth. HintMint requests access to Contacts, Deals, Companies, and Engagement APIs.

Configure activity logging

Choose how meetings are logged in HubSpot: as Meeting engagements, Note engagements, or both. Map HintMint fields to HubSpot properties.

Enable deal association

Turn on automatic deal association so HintMint links meeting activities to the relevant Deal based on participant email matching.

Activate

Toggle the integration to active. HintMint will begin syncing meeting data to HubSpot after each completed meeting.

Auto-Syncing Meeting Notes

Once a CRM integration is active, HintMint automatically pushes meeting data to the appropriate records after every call. Here is what gets synced.

  • Meeting summary -- a concise AI-generated overview of the conversation
  • Action items -- extracted tasks with owners and due dates
  • Key topics discussed -- tagged themes and subjects from the meeting
  • Sentiment analysis -- overall meeting sentiment and participant engagement scores
  • Next steps -- recommended follow-up actions based on conversation context
  • Full transcript -- optionally sync the complete meeting transcript as an attachment
Meeting notes are synced within 5 minutes of the meeting ending. Sync status is visible in the meeting detail view under the "Integrations" tab.

Mapping Meeting Participants to Contacts

HintMint automatically matches meeting participants to existing CRM contact records using email address matching. When a match is found, meeting notes are associated with the contact's record.

How Matching Works

  • Primary match -- participant email is matched against contact email fields in your CRM
  • Domain match -- if no direct email match is found, HintMint checks the company domain against Account/Company records
  • Manual override -- users can manually associate a meeting with a specific contact or opportunity before or after the call
  • New contact creation -- optionally enable auto-creation of new CRM contacts when an unrecognized external participant joins a meeting
Auto-creation of new contacts is disabled by default to prevent duplicate records. Enable this feature only if your CRM has deduplication rules in place.

ATS Interview Feedback Sync

For recruiting teams, HintMint streamlines the interview feedback process by automatically pushing structured feedback to your ATS after interview calls.

Greenhouse Integration

Connect Greenhouse

Navigate to Admin Console > Integrations > ATS and authenticate with your Greenhouse Harvest API key.

Map interview stages

Associate HintMint meeting types with Greenhouse interview stages so feedback is routed to the correct scorecard.

Configure scorecard fields

Map AI-extracted interview signals (communication skills, technical depth, culture fit) to your Greenhouse scorecard attributes.

Enable auto-submit

Choose whether feedback is auto-submitted or saved as a draft for interviewer review before submission.

Lever Integration

Connect Lever

Navigate to Admin Console > Integrations > ATS and authenticate via Lever's OAuth flow.

Link candidate profiles

HintMint automatically matches interview participants to Lever candidate profiles using email addresses from the calendar invite.

Configure feedback format

Choose between structured feedback (mapped to Lever form fields) or free-form notes appended to the candidate's opportunity.

Activate sync

Enable the integration. Interview feedback will sync to Lever within minutes of the interview ending.

Interviewers can review and edit AI-generated feedback in HintMint before it syncs to the ATS. This ensures accuracy while saving significant time on manual feedback entry.
