Privacy Policy

This Policy applies when you visit our website or use the Services. It does not apply where we process Personal Information as a processor on behalf of Customers, or to third-party services connected to the platform. Links on the Site to third-party websites are subject to those websites' own policies. We reserve the right to update this Policy at any time and will notify you of material changes by email or in-product notice.

HintMint is an AI-powered meeting intelligence platform. It assists professionals during meetings, interviews, sales calls, and strategy sessions by providing real-time transcription, speaker identification, AI-generated insights, action item capture, meeting summaries, and contextual prompts. The platform operates as a silent intelligence layer, processing audio and conversation data from user-initiated sessions to generate structured outputs.

HintMint uses Google Sign-In (OAuth 2.0) to allow users to create and access their accounts using their existing Google Account credentials. HintMint requests only the minimum data required from Google to authenticate users and provide the Services.

This section specifically addresses how HintMint interacts with data obtained through Google APIs and Google Sign-In, as required by the Google API Services User Data Policy.

3.1 What Google Data We Collect

When you sign in to HintMint using Google Sign-In, we collect only the following data from your Google Account:

• Your name (first and last name) as registered with Google
• Your Google Account email address
• Your Google Account profile picture (avatar/photo)
• A unique Google Account identifier (Google User ID) used to authenticate you

HintMint does NOT request or collect access to your Gmail messages, Google Calendar events, Google Drive files, Google Contacts, or any other Google service data unless you explicitly authorize a specific integration for that purpose within the platform. Each such integration, if enabled, will present its own separate consent prompt.

3.2 How We Use Google User Data

Google user data collected via Sign-In is used exclusively to:

• Create and maintain your HintMint account
• Authenticate your identity when you log in
• Display your name and profile photo within the HintMint application
• Associate meeting data, notes, and AI outputs with your account
• Send account-related communications to your registered email address

HintMint's use of Google user data is strictly limited to providing and improving the features you directly interact with. We do not use Google user data for advertising, retargeting, profiling for unrelated purposes, or any purpose outside the functionality described in this Policy.

3.3 How We Store Google User Data

Google user data is stored on secure servers with encryption at rest (AES-256) and in transit (TLS 1.2+). Access is restricted to authorized HintMint personnel and systems that require it to operate the Services. We do not store Google user data on unencrypted servers or in insecure environments.

3.4 How We Share Google User Data

HintMint does not sell, rent, or trade Google user data. We do not share Google user data with third parties for advertising purposes. Google user data may be shared only in the following limited circumstances:

• With sub-processors (such as cloud infrastructure providers) that process data on our behalf under strict confidentiality obligations and data processing agreements, solely to operate the Services
• When required by applicable law, regulation, or valid legal process
• To protect the safety, rights, or property of HintMint, our users, or others
• In connection with a merger or acquisition, with notice provided to users

3.5 Limited Use Policy Compliance

HintMint's use of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

• We only use Google user data to provide or improve user-facing features of HintMint
• We do not transfer Google user data to third parties except as necessary to provide the Services
• We do not use Google user data for serving advertisements
• We do not allow humans to read Google user data unless you have explicitly given us permission, it is necessary for security purposes, or it is required by law

3.6 Revoking Google Access

You may revoke HintMint's access to your Google Account at any time by visiting your Google Account settings at myaccount.google.com > Security > Third-party apps with account access. Revoking access will not delete your HintMint account or data, but will require you to set up an alternative login method to continue using the Services. To delete your account and all associated data, contact support@hintmint.io.

4.1 Information You Provide to Us

Account Information

To create an account, we collect your name, email address, profile picture, password (for non-Google sign-in), and authentication credentials. If you use Google Sign-In, your name, email, and profile picture are provided by Google as described in Section 3.

Payment Information

Billing details for paid subscriptions are collected and processed by Stripe. HintMint stores only your card type, last four digits, and expiration date. No full payment credentials are stored by HintMint. Stripe's privacy policy governs their processing of payment data.

Meeting and Conversation Data

HintMint's core features involve processing audio and conversational data from sessions you initiate. This includes:

• Live audio streams or recordings captured from your device microphone during active sessions
• Real-time transcriptions and speaker-identified conversation data
• Session metadata such as date, time, duration, and participant count
• AI-generated outputs including summaries, action items, response suggestions, and decision insights produced during or after sessions
• Notes, tags, or context you manually add within the platform

HintMint does not listen to, record, or process audio outside of explicitly user-initiated sessions. Sessions must be actively started by you within the application.

Business Contact Information

For business accounts, we collect your name, email, phone number, job title, and information relevant to the performance of your agreement with us.

4.2 Information We Collect Automatically

• Log Data: IP address, browser type, request timestamps, and interaction patterns
• Usage Data: Features used, content engaged with, session duration, time zone, and device type
• Device Information: Device name, operating system, and browser version
• Analytics Data: Collected via analytics tools to understand usage and improve performance

4.3 Information from Third-Party Integrations

If you authorize integrations with third-party tools, we may receive data necessary to provide the integration feature. Current optional integrations include:

• Calendar Applications (e.g., Google Calendar): Meeting metadata such as event title, time, and participant names, used only to provide meeting-preparation features
• CRM and Productivity Tools (e.g., Salesforce, HubSpot, Slack): Data you explicitly authorize to sync meeting outputs to these platforms

Each integration is opt-in and requires separate authorization. You may revoke any integration at any time from your account settings.

We use the information we collect to:

• Authenticate your identity and manage your account
• Provide real-time transcription, speaker identification, AI prompts, meeting summaries, and action items
• Enable memory recall and contextual intelligence across sessions
• Support software integrations you have authorized
• Send service communications including confirmations, invoices, security alerts, and support messages
• Analyze platform performance and usage patterns to improve the Services
• Prevent fraud, abuse, and unauthorized access
• Comply with legal obligations and respond to lawful legal process
• Create aggregated, de-identified datasets for product improvement

HintMint does not use your data to serve advertisements, build advertising profiles, or sell data to third-party data brokers or advertisers.

HintMint does not use Customer Data (including meeting recordings and transcriptions) to train AI models without your explicit consent. Enterprise customers benefit from additional data protections under separate Data Processing Agreements.

HintMint does not sell your Personal Information. We may share information in the following circumstances only:

• Service Providers and Sub-Processors: Cloud infrastructure, payment processing, transcription, analytics, and customer support providers operating under strict confidentiality obligations
• Integration Partners: Data shared only with tools you have explicitly authorized
• Legal Requirements: When required by applicable law, court order, or governmental authority
• Safety and Security: To detect or prevent fraud, unauthorized access, or threats to user safety
• Business Transfers: In connection with a merger or acquisition, with advance notice to users
• With Your Consent: For any other purpose with your explicit prior consent

• Required Cookies: Essential for platform login and security. Cannot be disabled.
• Performance Cookies: Anonymized usage data to improve platform functionality. Manageable via browser settings.
• Functionality Cookies: Remember your preferences and settings. Manageable via browser settings.
• Marketing Cookies: Used to measure campaign effectiveness. Manageable via our cookie consent banner.

HintMint implements the following security measures to protect your Personal Information and Google user data:

• Encryption in transit (TLS 1.2+) and at rest (AES-256)
• Firewall protection and intrusion detection systems
• Role-based access controls limiting internal access to authorized personnel
• Regular security audits and assessments
• Dedicated workspace isolation for team and enterprise accounts

You are responsible for maintaining the confidentiality of your account credentials. Notify us immediately at support@hintmint.io if you suspect any unauthorized access to your account.

We retain your Personal Information as follows:

• Account data: Retained while your account is active and for a reasonable period after closure to fulfill legal obligations
• Meeting recordings and transcriptions: Retained for the period specified by your plan, after which they are permanently deleted from active systems
• Google user data (name, email, profile photo): Retained while your account is active; deleted within 30 days of verified account deletion request
• De-identified and aggregated data: May be retained indefinitely for product improvement
• Backup copies: May be retained for up to 90 days in immutable backup systems following active deletion

To request deletion of your account and associated data, contact support@hintmint.io. Requests will be processed within 30 days, subject to legal retention requirements.

You have the following rights regarding your Personal Information:

• Access: Request a copy of the Personal Information we hold about you
• Correction: Request correction of inaccurate or incomplete information
• Deletion: Request deletion of your Personal Information and account
• Portability: Request export of your data in a common machine-readable format
• Objection: Object to certain processing activities, including direct marketing
• Restriction: Request temporary restriction of processing in certain circumstances

To exercise any of these rights, contact support@hintmint.io. We will verify your identity before fulfilling requests and respond within 30 days. To revoke Google Account access specifically, see Section 3.6.

To opt out of marketing communications, click Unsubscribe in any marketing email or update your notification preferences in account settings.

HintMint does not engage in cross-site behavioral tracking for advertising purposes and does not alter its data practices in response to browser Do Not Track signals. For more information, visit www.allaboutdnt.com.

The Services are not directed to individuals under the age of sixteen (16). HintMint does not knowingly collect Personal Information from children under 16. In accordance with COPPA requirements, child-directed applications should not use Google Sign-In or Google APIs. HintMint is a professional productivity tool not intended for use by children. If you believe we have collected information from a child under 16, contact us immediately at support@hintmint.io and we will delete such information promptly.

13.1 California Residents (CCPA/CPRA)

California residents have the right to: know what Personal Information we collect and how it is used; request deletion; opt out of the sale of Personal Information (HintMint does not sell Personal Information); and non-discrimination for exercising these rights. Submit California privacy requests to support@hintmint.io with subject line "California Privacy Request".

13.2 Nevada Residents

HintMint does not sell Personal Information as defined under Nevada Revised Statutes Chapter 603A. Submit Nevada opt-out requests to support@hintmint.io with subject line "Nevada Do Not Sell Request".

13.3 European Residents (GDPR)

For users in the EEA or United Kingdom, we process Personal Information under the following legal bases: Consent, Contract Performance, Legitimate Interests (for security and product improvement), and Legal Obligation. EEA and UK residents have the right to access, correct, delete, restrict, port, and object to processing of their Personal Information. You also have the right to lodge a complaint with your local data protection authority. Contact support@hintmint.io to exercise these rights.

13.4 International Users

HintMint is operated from State of Delaware, United States. Personal Information may be transferred to and processed in countries outside your country of residence. By using the Services, you consent to such transfer. HintMint implements appropriate safeguards for international data transfers, including standard contractual clauses where required by applicable law.
