Overview
HintMint's Knowledge Base is an org-wide repository that feeds directly into the AI meeting assistant's retrieval-augmented generation (RAG) system. By uploading your company's internal documents, you enable HintMint to provide contextually relevant suggestions, talking points, and objection handlers during live meetings.
How It Enhances Meeting Intelligence
When HintMint joins a meeting, it continuously analyzes the conversation in real time and retrieves relevant knowledge entries to assist the participant. Here is how the Knowledge Base integrates with the AI engine.
- Real-time retrieval -- as topics arise in conversation, HintMint surfaces matching knowledge entries within seconds
- Contextual suggestions -- talking points, competitive differentiators, and pricing details appear when relevant objections or questions are detected
- Pre-call briefs -- before scheduled meetings, HintMint compiles a brief from knowledge entries related to the agenda and attendees
- Post-call enrichment -- meeting summaries reference knowledge entries used during the call for easy follow-up
- Continuous learning -- the system tracks which entries are surfaced most frequently, helping you identify high-value content
Uploading Documents
Admins and Managers can upload documents to the Knowledge Base from the Admin Console. HintMint processes and indexes uploaded content for fast retrieval during meetings.
Supported Formats
- PDF documents (up to 50 MB per file)
- Microsoft Word (.docx) and PowerPoint (.pptx)
- Google Docs and Slides (via direct link import)
- Plain text and Markdown files
- CSV and structured data files for product catalogs and pricing tables
Upload Steps
Navigate to the Knowledge Base
Open Admin Console > Knowledge Base from the left sidebar. You will see all existing entries and their status.
Upload files
Click 'Upload Documents' and select one or more files from your computer. You can also drag and drop files directly into the upload area.
Categorize and tag
Assign each document to a category (e.g., Sales, Product, HR, Engineering) and add tags for more granular filtering. Categories determine which meeting types trigger the content.
Set access level
Choose whether the document is available to all workspace members, specific teams, or only certain roles. Access controls are enforced during meetings.
Publish
Click 'Publish' to index the document. Processing typically takes 1-3 minutes depending on file size. Once indexed, the content is immediately available for meeting intelligence.
Content Types
Organize your Knowledge Base around the content types that matter most to your teams.
Playbooks
Sales playbooks, discovery call scripts, and demo guides. HintMint surfaces relevant playbook sections when it detects conversation stages like discovery, objection handling, or closing.
Battlecards
Competitive intelligence cards with positioning, differentiators, and counter-arguments. When a competitor is mentioned during a meeting, HintMint instantly surfaces the relevant battlecard.
Product Documentation
Feature specs, release notes, and technical documentation. Useful for customer success and support calls where product details need to be referenced accurately.
Policies & Procedures
HR policies, compliance guidelines, and internal procedures. Helpful for interview panels, onboarding calls, and internal alignment meetings.
Managing Knowledge Entries
Keep your Knowledge Base current to ensure HintMint always delivers accurate, up-to-date information during meetings.
- Version history -- every document upload creates a new version; previous versions are retained and can be restored
- Expiration dates -- set optional expiry dates on time-sensitive content like quarterly pricing or promotional offers
- Bulk operations -- archive, re-categorize, or delete multiple entries at once from the Knowledge Base dashboard
- Usage analytics -- track how often each entry is retrieved during meetings, which entries lead to positive outcomes, and which are never surfaced
- Search and filter -- find entries by keyword, category, tag, upload date, or last-used date
Access Controls
Fine-grained access controls ensure that sensitive knowledge is only surfaced to authorized team members during meetings.
- Workspace-wide -- available to all members of your HintMint workspace
- Team-restricted -- only members of specific teams can see the content during meetings
- Role-restricted -- limit access to specific roles (e.g., only Managers and above can access pricing strategies)
- Individual access -- share specific entries with individual users for sensitive materials
